How can we help?

Answers about India pricing, GST billing, EPF, ESI, Professional Tax, TDS, field signoff, access, and secure rollout.

01

Getting started

What is HisaBooks?

HisaBooks is an all-in-one business workspace that brings billing, field service, procurement, inventory, customers, HR, and payroll support into a single system.

It replaces the scattered Word files, spreadsheets, and separate tools that growing companies usually juggle, so office work and field work live in one place.

Link to this answer
Who is it built for?

It is made for growing SMEs that want a cleaner way to run operations, finance, and people, without jumping to a heavy enterprise system before they are ready. HisaBooks is for business use: accounts are created by adults acting for a company or organisation.

Link to this answer
Do I need to install anything?

No. Everything works in a current web browser. If you prefer an app, HisaBooks Business is on the Microsoft Store for Windows and on Google Play for Android phones.

The apps use the same account and the same records as the web app, so your team can mix them freely.

Link to this answer
Do I need a credit card to start?

Not for Free Starter. You can create a free company workspace without a card and start working straight away.

Paid plans are bought by card at checkout, even when they begin with a free trial. Nothing is charged until the trial ends, and you can cancel before then.

Link to this answer
How do my team members sign in?

Each person signs in with their own username, a password, and your company code. The company code is set when the company is created and does not change, so keep it somewhere your team can find it.

Anyone who has linked a Google account to their login can use Continue with Google instead.

Link to this answer
Why do I need to verify my email after signing up?

When you sign up for Free Starter with an email address, you are signed in straight away and have 24 hours to confirm the address from the email we send. It is the address we use for account recovery and important notices.

If 24 hours pass without confirmation, the workspace waits on your profile page until you verify. Nothing is deleted, and you can resend the email from there. Signing up with Google skips this step because Google has already confirmed the address.

Link to this answer
Can I create more than one Free Starter company?

Free Starter is one free workspace per person. If you already use HisaBooks and need a second company, choose a paid plan for it, or recover your existing account if you have lost access.

Creating repeated free workspaces to get around limits is against the Acceptable Use Policy.

Link to this answer
Can I start with just one part of the business?

Yes. Most companies begin with a single workspace, such as billing or service reports, then switch on the others once that first flow is running smoothly.

Link to this answer
Can my team use it on phones and tablets?

Yes. The web app is laid out for desktop work first and adapts to smaller screens. Shared forms, customer links, and on-screen signatures are designed for phones.

For daily work on a phone, the HisaBooks Business Android app is the better fit.

Link to this answer
What should we set up first?

Company details, including your legal country, and document settings, because everything else reads from them. Then customers and items, then the people who need logins, then start issuing real documents.

There is a getting started area in the app that walks the same order. The reason the sequence matters is that setting branding and tax treatment first means the first invoice you send is already correct rather than something you reissue.

Link to this answer
Can I search across everything at once?

Yes. There is a search that spans records rather than making you guess which section a document is filed under, which is usually how people actually look for things.

Link to this answer
Our team is spread across time zones. Does that work?

Yes. Time zone is a company setting, so documents and reports read in the time your business actually runs on rather than a server default.

Link to this answer
How quickly can we get started?

Free Starter is ready as soon as you send the signup form. For a paid plan, the workspace is created when checkout completes, and the administrator receives an email with a link to set their password.

If you would like a hand, you can request setup help before you begin.

02

Plans & pricing

How does pricing work?

You choose your country, a plan (Starter, Business, or Business Plus), the workspaces you want, and how many people will use HisaBooks. The total updates live as you change each part, so you can compare the monthly and yearly price before you check out.

Link to this answer
Which workspaces can I choose from?

The workspaces are Billing & Finance, Field Service & Signoff, Procurement & Payables, HR & People, and Payroll Support. Procurement & Payables needs Billing & Finance, Payroll Support needs HR & People, and delivery orders need Billing & Finance.

Email Inbox and Inquiries are included with every plan. You can select only the workspaces you need now and add more later as the team grows.

Link to this answer
Why does the price change when I add users?

Each plan includes a number of people: 10 on Starter, 25 on Business, and 75 on Business Plus. Each person beyond that adds a small monthly amount, and the total is shown before you pay.

Adding people later is blocked once you reach your plan's allowance, so raise the number in Settings > Subscription first. Nobody already in the company loses access because of the allowance.

Link to this answer
Who counts as a person?

Everyone in the company is counted once: each active employee record, plus each login that is not linked to an employee. An employee who also has a login is still one person.

Employee Self Service logins never add a person, because they belong to an employee who is already counted. People you remove stop counting.

Link to this answer
Can I pay monthly or yearly?

Both billing intervals are supported. A yearly plan costs ten times the monthly price, so you get two months free, and the pricing page shows the full annual total so you can compare it directly against monthly billing.

Link to this answer
Which countries and currencies are supported?

HisaBooks offers SGD pricing for Singapore, INR for India, and USD pricing for other markets. The pricing page detects your region; company country and currency are confirmed during setup.

Built-in tax and payroll calculations are available for Singapore and India. Companies elsewhere use the standard workflows without country-specific tax or payroll rules.

Link to this answer
Is there a free plan?

Yes. HisaBooks offers a Free Starter workspace for companies that want to begin with real work before moving to a paid plan.

Free Starter is designed as a live operating workspace with clear limits and HisaBooks branding on customer-facing outputs, so teams can prove value quickly and upgrade later without re-entering everything.

Link to this answer
What is included in Free Starter?

Free Starter includes customers, items, quotations, invoices, service reports, Inquiries and the Email Inbox, company settings, and Singapore GST setup, for up to 2 people.

Current limits are 25 active customers, 40 active items, and 250 MB of stored files and signatures. Each calendar month you can create 15 quotations, 15 invoices, and 10 service reports, export 30 PDFs, send 20 customer emails or messages, and receive 10 customer form submissions.

Link to this answer
What happens when I reach a Free Starter limit?

The action that would go over the limit is refused with a message naming the limit. Nothing is deleted, and everything you already created stays available.

Monthly limits reset at the start of the next calendar month. Upgrading to a paid plan lifts them straight away.

Link to this answer
Why do free PDFs and customer emails mention HisaBooks?

That branding is part of the free plan. It keeps the no-cost tier sustainable and helps the product market itself through real customer-facing work such as quotations, invoices, and service reports.

Once a company upgrades to a paid plan, that mandatory free-plan branding is removed automatically.

Link to this answer
Can I upgrade from Free Starter without starting again?

Yes. A company administrator upgrades from Settings > Subscription. The paid plan is added to the same company, so your company code, users, and records stay exactly as they are.

Link to this answer
Can I change my plan later?

Yes. Plans are designed to grow with you. Company administrators can upgrade the plan, add or remove workspaces, and change the number of people from Settings > Subscription, without contacting support.

If your plan was arranged directly with HisaBooks as a custom agreement, changes go through us instead, and the Subscription page says so.

Link to this answer
Can I downgrade or reduce what I pay for?

Yes. Downgrades normally take effect at the end of the current paid period rather than immediately.

If what you are using is above the smaller plan's limits, the Company Administrator needs to bring people or workspaces down to fit before the change can apply. Downgrading does not delete company data.

Link to this answer
What payment methods can I use?

Online plans are paid by card through Stripe's secure hosted checkout, so you can pay with confidence.

For a custom agreement, HisaBooks can bill you through a card payment link or by invoice. Contact sales to discuss it.

Link to this answer
Are taxes included in the price?

Yes. Every advertised and accepted HisaBooks subscription price, including Workspace, POS, add-ons, extra terminals, and future apps, is the final gross customer price.

If the seller of record is required and registered to collect GST, VAT, sales tax, or a similar indirect tax, it is included within that price and is never added on top. If no collection obligation or registration applies, no such tax is charged.

Any later list-price change follows the normal notice and renewal rules.

03

Trials, payments & cancelling

Is there a free trial of the paid plans?

Paid plans bought online come with a 30-day free trial when the checkout summary shows one. You add a card at checkout, but nothing is charged that day.

We email the billing contact before the trial ends. If you do nothing, the first payment is taken automatically when the trial ends; cancel before then and you are not charged. The trial is offered once per company, so a company that has had a paid subscription before does not get another one.

Link to this answer
When will I be charged?

Paid plans are charged in advance: when the trial ends, then at the start of each month or year until you cancel. The amount is the price shown at checkout, with any tax already included.

Yearly plans get a reminder email before they renew, so the renewal is never a surprise.

Link to this answer
What happens after I pay?

Payment is handled on Stripe's secure checkout. As soon as it succeeds, your company workspace is created and the administrator receives an email with a link to set their password.

If the email does not arrive, the page you return to after checkout lets you correct the administrator's address and send the link again.

Link to this answer
Where do I find my invoices and receipts?

In Settings > Subscription, under Billing history. Each payment has a link to its invoice, so you do not need to ask us for a copy. Manage in Stripe on the same page lets you download receipts and update your billing email, address, and tax ID.

Link to this answer
How do I change the card on file?

A company administrator opens Settings > Subscription and chooses Manage in Stripe under Payment method. The card is changed on Stripe's secure page; HisaBooks never sees the full card number.

It is worth updating a card before it expires rather than after, because keeping a working payment method on the account is the Company Administrator's responsibility.

Link to this answer
What happens if a payment fails?

Stripe may retry the payment, and the Subscription page shows a notice with a link to pay. Your workspace keeps working for 7 days while you update the card or complete the payment.

If it is still unpaid after those 7 days, the company moves to Free Starter. Paid features switch off, but nothing is deleted, and paying brings the paid plan back. If your plan was arranged directly with HisaBooks, access may instead pause until billing is sorted out.

Link to this answer
What happens if my subscription lapses?

Your company data is not deleted. A self-serve company moves to Free Starter, so you can still sign in and work within the Free Starter limits. Records from features outside Free Starter, such as HR or procurement, are kept and come back when you upgrade again.

Link to this answer
How do I cancel, and what happens when I do?

A Company Administrator cancels from Settings > Subscription in the web app. Cancelling stops the next renewal rather than cutting you off immediately: paid access stays active until the end of the period you have already paid for, and you can undo the cancellation from the same page until then.

When that period ends the company moves to Free Starter. It is not deleted. Uninstalling an app or simply stopping work does not cancel a paid subscription, so use the subscription screen.

Link to this answer
Do you give refunds?

Paid fees are generally non-refundable, and partial-period refunds for unused time are not usually given, except where the law requires it or HisaBooks has approved it in writing.

Duplicate charges, confirmed billing errors, and confirmed unauthorised charges are corrected after review. The Subscription, Cancellation, and Refund Policy is the full and authoritative version.

Link to this answer
Can I buy or change a plan in the apps?

No. Plans are bought and changed on the HisaBooks website. The Windows app shows your subscription and opens the web page for changes, and the Android app does not sell subscriptions or in-app purchases.

04

Signing in & account security

I forgot my username, password, or company code. What do I do?

Choose Forgot your sign-in details? on the sign-in page and enter the email address on your login. We send a secure link that works once and lasts 30 minutes. It lets you see your username and company code and choose a new password; if the email belongs to more than one company, you pick the one you need.

If you linked Google before, Continue with Google takes you back in without the email. If your login has no email address, ask your Company Super Admin to reset your password.

Link to this answer
Can I sign in with Google?

Yes, once Google is linked to your login from My Profile, or if you signed up with Google. Google confirms who you are and sends us only your name, email address, and Google account ID.

We never receive your Google password and cannot read your Gmail, files, contacts, or calendar.

Link to this answer
Does HisaBooks support two-factor authentication (2FA)?

Yes. Any user can turn on two-factor authentication from Settings or My Profile, using a standard authenticator app to generate a time-based one-time code at sign-in.

One-time recovery codes are provided when 2FA is enabled, so you can still sign in if a device is lost. If you lose both the phone and the codes, your Company Super Admin can reset 2FA so you can set it up again. Enrolment, removal, and reset are recorded in the audit trail.

Link to this answer
Can the same account be used in two places at once?

Yes, within limits. One person can be signed in on up to two web browsers at once; signing in on a third ends the oldest session. The Windows and Android apps keep their own sign-ins.

If your login has an email address, each completed web sign-in sends you an email. My Profile lists your web sessions with a Sign out others button, so an unfamiliar session can be closed straight away.

Link to this answer
Why was I asked to sign in again?

For security, a web session normally ends after two hours without activity, and in any case twelve hours after you signed in. App sign-ins stay active while the app is used and end after 30 days without use.

An administrator resetting your password also signs you out everywhere.

Link to this answer
Are passwords and logins protected?

Passwords are stored using one-way hashing, never as plain readable text, so they cannot be read back by anyone, including us.

Repeated failed sign-in attempts are slowed and then paused for a short time, usually about 15 minutes, which protects accounts against guessing. The message on screen tells you how long to wait.

Link to this answer
My administrator reset my password. What happens now?

You are signed out everywhere and receive an email saying so. Ask your administrator for the temporary password; at your next sign-in you will be asked to choose a new one before you can continue.

Link to this answer
Why am I asked to accept updated terms when I sign in?

When the Terms of Service or the Privacy Policy change, everyone is asked to review and accept the current versions at their next sign-in. We keep a dated record of each acceptance, and earlier acceptances are not changed.

Link to this answer
What if we lose access to the admin account?

If another Company Super Admin exists they can restore access, which is the main reason to keep more than one. If nobody can get in, contact support from a company address and expect to verify who you are and that you have authority to act for the company before anything is changed.

Link to this answer
05

Roles & access

What user roles are available?

There are five built-in roles. Company Super Admin can do everything, including adding people and changing their access. Company Admin runs the company day to day, including settings and the subscription, and can see users but cannot add them or change their access.

Company Power User has broad access without deleting records or managing access. Company Staff is the safe default for day-to-day staff: view and create in common areas, with no deleting, no financial changes, and no HR policy changes. Employee Self Service is an employee's own login for their leave, claims, attendance, payslips, and company notices.

Link to this answer
Can I control what each person sees?

Yes. Access is decided by a person's role plus the features your company has subscribed to, so sensitive areas can be kept away from the wrong people.

Link to this answer
Can permissions be customized beyond the standard roles?

Yes. Alongside the standard company roles, a Company Super Admin can grant or remove individual permissions for a specific user, so an exception, such as giving one staff member access to export financial reports, does not require changing their entire role.

Every permission change is recorded in the audit trail, so it is always clear who has access to what, and when that access changed.

Link to this answer
How is one company's data kept separate from another's?

Every company works inside its own account boundary, and every request is checked against the signed-in user's company before any record is returned.

Link to this answer
Does HisaBooks support multiple companies or business units?

Each company works inside its own separate workspace, with its own company code, users, records, and subscription. If you run more than one legal entity or need entirely separate books, each one is set up as its own HisaBooks company so their data stays separate.

A person who works for two companies has a separate login in each. Within a single company, you can still organize day-to-day work by department, customer, or project using roles and feature access, without needing a second workspace.

Link to this answer
Can I remove access when someone leaves?

Yes. A Company Super Admin can disable a user or mark them as left at any time. Their sign-in stops straight away, and the records they created stay with the company.

Link to this answer
Does the portal keep an audit trail?

Yes. Key actions and changes, including sign-ins, permission changes, support sessions, and every voided or cancelled document with its reason, are recorded in the Activity Log so they can be reviewed later.

Link to this answer
Can my company have more than one admin?

Yes. The admin roles can be given to more than one person, so responsibility for managing the company workspace can be shared. Keeping at least two Company Super Admins means one can always restore the other's access.

06

Field work & signoff

Can customers sign on their own device?

Yes. The signature pad works on screen, so a customer can sign directly on the phone or tablet being used at the job.

An optional company stamp can be added, or photographed and attached if it is a physical stamp only.

Link to this answer
Can customers accept a quotation or sign for a delivery online?

Yes. Through their secure customer link, a customer can review a quotation and accept it, or confirm a delivery and sign for it, without creating an account. The acceptance, name, and signature are saved with the document.

Link to this answer
What is the difference between standard and vessel service reports?

Service reports can be set up as standard or vessel, so the form matches the type of work, whether it is general service or marine and vessel jobs.

Link to this answer
Can delivery order items be prefilled?

Yes. A company can preload delivery order items, and those lines stay read-only for review, so the person on site confirms them rather than edits them.

Link to this answer
Can photos or files be attached to a report?

Yes. Supporting images and PDF files can be attached, so site photos and related documents stay together with the job record.

Link to this answer
Can we work on site without a signal?

Partly. In the Android app, assigned field work such as delivery stops, service reports, and stock counts can be saved to the phone as a field pack before you leave. Work done offline waits on the phone and is sent when the connection returns.

A field pack expires after a while, so download a fresh one before each trip. Anything still waiting to send stays on that phone until it is sent, so do not uninstall the app or sign out first.

Link to this answer
Can a completed report be downloaded?

Yes. Once a form is submitted, it can be generated as a clean PDF for sending to the customer or keeping on file.

Link to this answer
Can service reports and delivery orders be linked to purchase orders?

Yes. When procurement is part of your setup, service reports and delivery orders can be linked to a purchase order. This keeps field costs and purchasing records connected in one view.

Link to this answer
07

Billing, finance & operations

What does the billing workspace cover?

Billing & Finance handles invoices, quotations, credit notes, customer payments, and statements, so your sales and finance work stays in one place.

Link to this answer
How are customer payments recorded against invoices?

You record each payment you receive as a customer receipt, and allocate it to one or more invoices. Each invoice's paid amount and balance follow from those receipts, so the numbers always add up.

HisaBooks does not collect payments from your customers for you. Your invoices show your own bank details, and a customer can confirm a payment through their customer link for your finance team to check.

Link to this answer
Can I manage suppliers and purchasing?

Yes. Procurement & Payables covers supplier records, purchase orders, goods receipts, purchase returns, supplier bills, supplier credits, and supplier payments, so the payables side lives in the same system.

Purchase orders can also be linked to service reports and delivery orders, so field costs and procurement stay connected in one view.

Link to this answer
Is there an item catalog?

Yes. The item catalog lets you save goods and services with a name, optional item code, default selling price, cost price, and tax rate. When you add an item to a quotation, invoice, or purchase order, those values fill in automatically, so your team spends less time retyping the same products and rates.

For India companies, each item stores an HSN or SAC code and a default GST rate. For Singapore, you can set the GST treatment per item (standard-rated, zero-rated, exempt, or out-of-scope). You can also assign a preferred supplier to a goods item and turn on stock tracking, which connects that item directly to the inventory module.

Link to this answer
Does HisaBooks support inventory management?

Yes. The inventory module tracks stock for goods items in your catalog. You can record five types of movement: Stock In (goods received), Stock Out (goods issued or sold), Adjustment Up, Adjustment Down, and Opening Balance to set a starting quantity. Every entry captures quantity, unit cost, an auto-generated reference number, and an optional note.

Each item can be given a reorder level. The inventory dashboard highlights anything at or below that threshold in a low-stock view, so you can reorder before stock runs out. A per-item movement log keeps a full traceable history of every change. Inventory is part of the Billing & Finance workspace and can be toggled per company.

Link to this answer
Can I delete an invoice or another document?

Not once it has been issued, because your numbered records must stay complete for your accountant and the tax authority. A final invoice, credit note, supplier bill, or payslip is voided instead: it keeps its number, stays in your records marked VOID, and drops out of every total. A quotation, proforma invoice, purchase order, delivery order, or service report is cancelled the same way and marked CANCELLED.

You give a reason each time, and it is recorded in the Activity Log. Voiding and cancelling are final; to start again, create a new document. A draft purchase order, supplier bill, or delivery order can be deleted, and it keeps its number so the number is never reused. Documents archived before November 2026 can still be restored from the Archived tab.

To correct an invoice you have already sent, a credit note is usually better than voiding it, because the original and the correction stay side by side.

Link to this answer
Why can I not void or cancel a document?

Something still depends on it. An invoice cannot be voided while payments, a write-off, or a credit note are recorded against it, or if it came from a point-of-sale sale; remove or reverse those first. A supplier bill cannot be voided while payments or supplier credit are recorded against it.

A purchase order cannot be cancelled once goods are received or a bill is raised from it, a quotation or service report once it is on an invoice, and a delivery order once it is delivered or invoiced. A financial document dated in a Finance period you have locked cannot be voided either. The message on screen names what is in the way.

Link to this answer
Can I set up invoices that repeat every month?

Yes. Recurring invoices let you define the customer, the lines, and the schedule once, so a retainer or subscription bills on time without anyone remembering to raise it.

Each run creates a new unpaid invoice with its own number and date, on or after the scheduled day. You can choose to email it to the customer automatically, and you can pause a schedule at any time.

Link to this answer
Can I bill in more than one currency?

Yes. Documents carry multi-currency totals and there is an exchange rates area where you keep the rates you use, so you can invoice a customer abroad in their currency while your own reporting stays consistent.

Link to this answer
Do my customers get their own view of invoices and documents?

Yes. You can send a customer a secure link to their account page, where they can see their statement and invoices, update their contact preferences, and send you messages with attachments. Account links last 7 days; payment reminder links last 30 days and let the customer confirm a payment with its bank reference.

You control what the portal shows, and portal follow-ups and messages stay attached to the customer record rather than sitting in one person's inbox.

Link to this answer
Can I record supplier bills and payments, not just purchase orders?

Yes. Supplier bills and supplier payments sit alongside purchase orders and goods receipt notes, so an order can be followed through receiving to the bill and the payment against it.

Link to this answer
Do you handle deliveries and proof of delivery?

Yes. Delivery orders, shipments, route manifests, backorder reporting, and delivery proof attachments are all there, so what left the warehouse and what the customer signed for stay on the same record. A shipment can also have a public tracking link to share with the customer.

Link to this answer
Can I do stock counts and move stock between locations?

Yes. Stock counts come with a count variance report, so a count that disagrees with the system produces a list of what differs rather than an argument. Inventory transfers have their own notes, packs, and reports.

Link to this answer
Can I see whether we are actually making money?

There is a profit summary alongside the finance ledger, a trial balance, and receivables and payables views, so margin is something you can look at rather than something you work out at the end of the year.

Link to this answer
Can reports arrive on their own instead of me going to look?

Yes. Scheduled reports send on a schedule you choose, and workflow reminders chase the things that are due, so the routine checks do not depend on somebody remembering.

Link to this answer
Can I require sign-off before something is issued?

Yes. There is an approvals area for requests and transactions that require independent review before they are issued or posted.

Link to this answer
Can I track receivables and payables together?

Yes. Customer-side and supplier-side balances are tracked inside one company workspace, so you get a clear view of money in and money out.

Link to this answer
Can I download documents as PDF?

Yes. Documents such as invoices, quotations, and reports can be generated as clean PDFs for sending or record-keeping. In the Windows app every document has Preview PDF and Download PDF.

Link to this answer
Can I customize how my invoices and other documents look?

Yes. Document Studio lets each company choose a document theme and adjust fonts, text sizes, colours, table and border styling, logo size and placement, header and footer layout, footer notes, an optional watermark, and which fields show or hide. You can save a copy of a design and restore it later.

These settings apply across invoices, quotations, purchase orders, delivery orders, credit notes, service reports, and payslips, so every document a customer receives is consistent and on-brand.

Link to this answer
Can I customize the wording in customer emails?

Yes. Company admins can set reusable intro and closing wording for quotation emails, invoice emails, and customer statement emails from Settings.

On the free plan, the company can still adjust its own wording, but the mandatory HisaBooks promotional footer stays in place and cannot be removed from that page.

Link to this answer
Can I tell whether an email to a customer was actually delivered?

Yes. Every customer-facing email, quotations, invoices, statements, and payment reminders, is tracked from the moment it is queued through to delivery, and its status is visible from the related document and in Settings > Email Deliveries.

If a delivery fails, it is flagged rather than silently disappearing, so you always know whether a customer actually received what you sent.

Link to this answer
Do emails go out on their own?

Yes. Emails you send from HisaBooks are queued and sent automatically, usually within a minute or two. Nobody needs to press a send button for the queue.

If one fails, for example because the address is wrong, it is marked as failed so you can correct it and send again.

Link to this answer
Will my company details appear on invoices?

Yes. Your company profile, including name, address, registration number, and bank details, is stored once and used on the documents you generate.

Link to this answer
Can finance run without HR?

Yes. Finance and procurement work perfectly well on their own. You only add HR and payroll if and when you need them.

Link to this answer
What is the Customer Data Vault?

The Customer Data Vault is a secure store for customer-specific records that do not fit in a standard document, such as customer-held equipment inventory, site assets, access credentials, serial numbers, and secure notes.

Records are tied to a specific customer and access-controlled by role, so sensitive details stay available to the right people and off-limits to everyone else. Store only what your work needs.

Link to this answer
Does HisaBooks connect with accounting software or government e-invoicing systems?

Not yet as a direct, automatic connection. Today, HisaBooks prepares the data you need for statutory and accounting purposes, GST-ready billing documents, India EPF, ESI, and TDS export files, and Singapore payroll summaries, in formats built for government portals and accountants. In the finance area you can also import a bank statement as a CSV file for reconciliation.

Direct accounting-software and e-invoicing integrations are on our roadmap. If this is important for your rollout, let us know through Contact Sales and we will factor it into your setup guidance.

HR & payroll

Does it handle HR and payroll?

Yes. The HR & People and Payroll Support workspaces cover employees, attendance, leave, claims, payslips, and statutory deductions (Singapore CPF or India EPF, ESI, Professional Tax, and TDS), so people management sits alongside the rest of your operations.

Link to this answer
What HR modules are included?

The HR & People workspace covers employee records (contract, banking, emergency contacts, documents), attendance, shift planning, leave management with an approval workflow, onboarding checklists, expense claims, and performance review cycles.

The Payroll Support workspace adds payslip generation, statutory deduction calculations (CPF for Singapore or EPF/ESI/PT/TDS for India), and the statutory export tools that feed government filing portals. Payslips can be locked after approval so the record cannot be changed once finalized.

Link to this answer
Can staff do their own leave, claims, and attendance?

Yes. Employees request leave and submit claims themselves, and whoever approves them is looking at the same record. They can also see their own attendance and payslips.

There is no clock-in on phones or kiosks. HR keeps the attendance record, and employees can ask HR to correct anything that looks wrong.

Link to this answer
How do employee logins work?

A Company Super Admin can give an employee an Employee Self Service login linked to their employee record. It covers their own leave, claims, attendance, payslips, and company notices, and does not add a person to your plan.

Employee logins work in a web browser and in the HisaBooks Business app on a phone. The Windows app is for company users.

Link to this answer
Do you track attendance, shifts, and performance as well as payroll?

Yes. Attendance, leave, claims, shifts, onboarding, the employee lifecycle, and performance are all part of the HR area, and payroll reads the same employee record rather than a copy of it.

There is also an HR compliance calendar, so the recurring statutory dates are visible ahead of time rather than remembered on the day.

Link to this answer
Can I rely on the payroll and tax calculations?

HisaBooks calculates with the rules built in for Singapore and India, but it is software assistance, not payroll, tax, or legal advice. Review every payslip, deduction, and statutory figure before you pay staff or file, and check anything unusual with your accountant.

You remain responsible for filings, payments, and keeping the records the law requires.

Inquiries & email

What is Inquiries?

Inquiries is a shared place for customer and supplier requests. Each request becomes an inquiry your team can assign, reply to, and follow through to a quotation, vendor quotes, a purchase order, and the supplier's invoice, with the whole conversation kept on one record.

Inquiries and the Email Inbox are included in every plan, including Free Starter.

Can I connect our company mailbox?

Yes. A company administrator can connect a mailbox, such as an inquiries address, using the IMAP and SMTP settings from your email provider; many providers need an app password. HisaBooks keeps the password encrypted, copies messages in, and sends replies through your own mail server, so customers see your address.

You choose which mailbox to connect and can pause syncing at any time.

Does HisaBooks read our email with AI?

No. Incoming messages are sorted with fixed rules, for example to set aside newsletters and obvious spam. Nothing is sent to an AI service, and we do not use your data to train AI models.

Can I ask several suppliers for a quote at once?

Yes. From an inquiry you can request quotes from several vendors. Each one receives a separate private email, so suppliers do not see each other. You then record their quotes, compare them side by side, and choose one.

Windows and Android apps

Is there a desktop app?

Yes. HisaBooks Business for Windows is available now on the Microsoft Store, and the Android phone app is on Google Play. The web app still runs in any current browser and needs nothing installed, which is how most teams use HisaBooks day to day.

Install the Windows app from the Microsoft Store rather than from a downloaded installer. The Store build is signed by Microsoft and keeps itself updated, while the standalone installer is unsigned, so Windows warns about it and you would have to update it by hand.

Some workflows open in the web app from the phone or desktop app. Contact support before planning a rollout that depends on a device-specific integration.

Is there a dedicated mobile app?

Yes. The HisaBooks Business app for Android phones is available now on Google Play. It uses the same company login and the same role-based permissions as the web app, so field teams, engineers, and managers can work without opening a browser. There is no iPhone app yet; iPhone users can use the web app in Safari.

From the app, your team can view the dashboard, work with customers, quotations, invoices, service reports, deliveries, and purchasing, approve requests, and open any document as a PDF to share on the spot. Employee logins see a simpler view with their own leave.

Do I need to keep the apps updated?

Yes. Apps from the Microsoft Store and Google Play update themselves. Very old versions may be blocked from signing in when an update is needed for security, so keep automatic updates switched on.

What does the phone app keep on my phone?

Your sign-in is kept in the phone's secure storage, along with any saved accounts for switching, your settings, and any work waiting to send. If you turn on fingerprint or face unlock, your phone checks it; HisaBooks never receives your fingerprint or face data.

Signing out or removing the account clears it from the phone. Uninstalling an app does not close your account or cancel a subscription.

Your data & privacy

Can I export my data, and who owns it?

Your company records are yours. A company administrator can download them at any time from Settings > Data Export as a ZIP file with one CSV file per area, such as customers, invoices, and payslips. Uploaded files and PDFs are not in the ZIP; download those from their records.

Export before reducing or ending paid access. Export is deliberately separate from cancelling, so leaving a paid plan never depends on getting an export finished first.

Does cancelling delete my data?

No. Cancelling stops future renewals. It does not by itself delete company records, remove invoices or payroll history, cancel a statutory duty you still have, close a privacy request, or clear data already written to backups.

Deleting an account, removing an individual user, or closing a company are handled as separate requests. Those go through verification, an authority check, legal-retention review, and backup handling, which is why they are not a single button.

How do I close our company and delete its data?

A company administrator or owner submits a company closure request on the Data and Account Requests page. We confirm your authority, help you take a full export, and settle billing separately.

After closure is approved, you have 30 days to change your mind. Within the next 90 days we delete the workspace data we do not need to keep. Invoices, tax, payroll, and accounting records are kept for as long as the law requires, usually at least 7 years, with access restricted. Deleted data can remain in our backups for up to 35 days until they are overwritten.

Can a staff member delete their own account?

Yes, by making a request on the Data and Account Requests page; we let their company administrator know. Their sign-in stops straight away, and their login profile is deleted or anonymised within 30 days.

Business records they worked on, such as invoices and payroll, stay with the company because the company must keep them.

Someone asked us for a copy of their personal data. What do we do?

Your company decides how the data it enters about customers, suppliers, and employees is used, so requests about that data go to you first. You can find and export their records from HisaBooks to answer.

If a person contacts us directly, we may pass the request to your company administrator and help where we can.

Where is our data stored?

HisaBooks runs on Hostinger, in a data centre in Jakarta, Indonesia, with backups stored in Singapore. Card payments go to Stripe. The Subprocessor Register lists every provider, what it handles, and where.

Link to this answer
Do you use our data for advertising or AI training?

No. We do not sell personal data, do not use your records for advertising, and do not use them to train AI models. We use your data only to provide, secure, and support HisaBooks.

Link to this answer
Will your staff ever look at our data?

Only when it is needed to investigate something, usually a problem you have reported. A HisaBooks support person can open a support session in your workspace as your company administrator; they must record a reason first, your company receives a notification with that reason, and the session appears in your Activity Log.

We would rather you knew the honest shape of this than assumed nobody can ever see anything. Access exists, it is limited to support work, and it leaves a trail you can read. The Support Policy sets out how diagnostics and access work.

How do I contact your Data Protection Officer?

Use the Data and Account Requests page for access, correction, deletion, or privacy complaints. The Privacy Policy gives the Data Protection Officer's contact details. Please do not email passwords, full identity numbers, or card details.

Security & support

Is my payment information safe?

Yes. Card details are entered on Stripe's hosted checkout, not stored in HisaBooks, so sensitive payment data never sits inside HisaBooks.

How is my company's data kept secure?

Your data is protected on several layers. All traffic runs over an encrypted HTTPS connection, so information stays private while it moves between your team and HisaBooks.

Each company is held inside its own isolated boundary, and what a person can open is controlled by their role and your subscribed features, so records stay within your company and in front of the right people only.

Link to this answer
Is my connection encrypted?

Yes. HisaBooks is served entirely over HTTPS, so the connection between your browser and HisaBooks is encrypted from end to end.

Link to this answer
Can anyone outside my company see our data?

No. Companies are kept separate, and every request is checked against the signed-in user's company. Inside your company, access is further limited by each person's role and the features you have subscribed to.

Links you choose to share, such as a form link or a customer account link, show only what that link is for. Form, customer account, and payment reminder links expire after a set time and can be revoked.

Are uploaded files and attachments handled safely?

Yes. Uploads are limited to safe file types, mainly JPG and PNG images and PDF files, usually up to 5 MB each. They are stored outside the public web area so they are not openly accessible.

How do I report a security problem?

Follow the Responsible Disclosure Policy rather than ordinary support. Do not access or change anyone else's data while checking, and include enough detail for us to reproduce the issue.

How do I find out if something is down?

There is a public status page for service availability and maintenance notes. If something is affecting you and the status page does not explain it, contact support rather than waiting.

Link to this answer
When can I reach support, and how quickly do you reply?

Standard support runs Monday to Friday, 9:00 AM to 6:00 PM Singapore time, excluding Singapore public holidays, and is currently provided in English.

Response targets are set by severity, from 4 business hours for a critical issue to 5 business days for general questions. They describe an initial human response or acknowledgement, not promised fix times or a contractual uptime commitment.

We are moving off spreadsheets or another system. Can you help?

Yes. Talk to us before you buy rather than after, and we will go through what carries across cleanly, what has to be re-entered, and the order to do it in.

It is worth doing that conversation first, because the sequence you set things up in decides how much re-keying you end up doing.

Can I get help before I buy?

Yes. You can contact our team for setup guidance, and we will help you map the first rollout, including which workspaces to start with.

India setup

Does HisaBooks support India GST invoices?

Yes. India companies can use HSN/SAC, line GST rates, place of supply, and CGST, SGST, or IGST split on billing documents where applicable.

Each line item can carry its own GST rate, and HisaBooks splits the tax at the document level before generating the PDF. Review each invoice against your own GST obligations before you send it.

Do India GST features switch on automatically?

They switch on when your company confirms India as its legal country in Company Profile. Until then, country-specific tax and payroll features stay off, even if you see INR prices.

Add your GSTIN, state, PAN, and TAN in Company Profile before you issue your first invoice, so the first document already carries the right details.

Is there an item catalog with HSN/SAC support?

Yes. The item catalog lets you save goods and services with an HSN or SAC code, default GST rate, selling price, cost price, and preferred supplier. When you add an item to a quotation, invoice, or purchase order, the HSN/SAC code and GST rate fill in automatically, so your team does not need to remember or look them up each time.

Goods items in the catalog can also be stock-tracked. Once tracking is enabled for an item, the inventory module records every in and out movement and keeps the on-hand quantity current.

Can I create India quotations, purchase orders, and credit notes with GST details?

Yes. The India GST flow covers invoices, quotations, purchase orders, and credit notes, with HisaBooks recalculating tax on the server before saving.

Does HisaBooks create e-invoices (IRN) or e-way bills?

Not yet. HisaBooks prepares GST invoices with HSN/SAC and the tax split, but it does not register invoices on the Invoice Registration Portal, add the signed QR code, or create e-way bills.

If your business must use e-invoicing or e-way bills, complete that step on the government portal or through your GST provider.

Does payroll support EPF, ESI, Professional Tax, and TDS?

Yes. India payroll support includes EPF (employee share, employer share, and EPS), ESI, Professional Tax, and TDS calculation. The ceiling-based EPF split is handled automatically, and TDS is estimated against projected annual income so the per-month deduction stays accurate through the financial year.

Employees with wages above the ESI ceiling are automatically excluded from ESI deduction. EPS eligibility for joiners above ₹15,000 basic is also handled, as is the special treatment for international workers. Payslips can be locked after approval so the record cannot be changed once finalized.

Can I track TDS challans inside the portal?

Yes. The TDS Challans section lets you log quarterly challan payments, record BSR code, challan serial number, and tax deposited amount, so everything you need for Form 24Q stays in one place.

Link to this answer
Can I export India statutory return data?

Yes. HisaBooks can prepare EPF ECR text files, ESI contribution CSVs, and Salary TDS Return data including Form 24Q quarterly worksheets with deductor details and Annexure I. Final statutory filing should still be reviewed and submitted through the official portals or tools such as EPFO, ESIC, and TRACES/NSDL RPU.

Does HisaBooks support inventory management for India companies?

Yes. India companies can track goods stock using the inventory module. Movement types include Stock In (goods received), Stock Out (goods sold or issued), Adjustment Up, Adjustment Down, and Opening Balance to set a starting quantity. Each entry records quantity, unit cost, a reference number, and a note.

Items can be given a reorder level. When on-hand quantity falls to or below that threshold, the item appears in the low-stock view so you can act before stock runs out. The full per-item movement log keeps a traceable history. Inventory is part of the Billing workspace and connects directly to the item catalog.

Will prices show in INR?

Yes. Visitors in India see INR prices by default. Checkout confirms the billing country for the subscription, and India GST and payroll features switch on once your company confirms India as its legal country in Company Profile.
